AI governance practice

Make the boundaries part of the brief.

Managers need operational rules that match the actual task and the information involved.

An AI assistant used to summarise internal notes raises questions that cannot be answered by a capability demonstration alone. Which notes may be supplied, who checks the summary and what happens if an incorrect statement reaches a customer? Responsible AI Review focuses on these operating boundaries. It examines the task, the information involved and the responsibility for an accepted output, keeping organisational decisions connected to the particular use rather than assuming that every application of AI has the same requirements.

Define the permitted use in concrete terms

Describe the task and identify both acceptable inputs and material that should remain outside the workflow. A public product summary and a confidential personnel discussion require different handling. Establish who can approve a new use or a change in the information being processed. Keep the policy understandable to the staff expected to apply it, with examples close to their actual work. A general instruction to “use AI responsibly” leaves too much interpretation at the moment somebody is deciding whether to upload a document.

Match the review to the consequence

Determine which parts of an output need source comparison, specialist judgement or approval before use. A draft heading and a customer-facing commitment do not carry the same consequences when wrong. Identify a reviewer who has the context and authority to reject the result. Make it clear when the tool is assisting a decision and when a person must make that decision independently. Review should be a defined part of the workflow, with time allocated to it, rather than an informal expectation added after the output has already been circulated.

Keep an actionable record of incidents

When an output is inappropriate, capture what failed without unnecessarily retaining sensitive source material. Consider whether the failure came from the task design, the input, the system or the review process. Adjust the relevant boundary and communicate the change to users of the workflow. This publication brings use policies, review ownership and information handling into practical discussion. It offers a structure for operational questions; any claim of legal or regulatory compliance still requires assessment against the applicable circumstances and authoritative requirements.
